Return, inspect, and make equipment rent-ready

Receive a returned unit, record its condition, complete the required inspection, and clear Yard or service blockers before certifying availability.

Before you start.

  • Identify the exact rental assignment and unit being returned.
  • Confirm that an Owner or Yard Manager has configured the applicable return checklist.

Steps.

  1. Receive the exact unit

    Complete the pickup or record customer drop-off, then receive the exact assignment. Capture the return meter, fuel, condition, notes, and other required facts.

  2. Complete the return inspection

    Start or resume the matching return checklist. Add answers, notes, photos, and signatures required by your configured template, then complete the inspection.

    Record damage and billable findings accurately; inspection findings can create service or billing follow-up without collapsing those workflows into the inspection itself.

  3. Move the Yard turn to ready

    Work the unit through arrival, inspection, cleaning or fuel, and any blocked service state. Resolve open work and readiness checks before marking the Yard turn Ready.

    Open service work remains a separate readiness blocker that must be resolved in Service.

  4. Certify availability

    When inspection, cleaning, fuel, and service work are clear, choose Mark Complete in the Clean & Fuel stage. Verify that the Yard card shows Ready and Equipment shows the expected location and availability.

    A completed inspection can clear one readiness requirement without clearing damage, cleaning, fuel, or an open work order.

Common problems and recovery.

No checklist opens for the unit.

Ask an Owner or Yard Manager to configure a global or category default with the matching inspection type, then resume.

The inspection cannot complete.

Fill every configured required answer, photo, note, or signature, or use an allowed audited override.

The unit stays blocked after inspection.

Review work orders, damage, cleaning, fuel, service, and final certification blockers.
