What we collect, why we use it, where it goes, and the choices you have.

Who we are and what this covers.

EquipFlow is operated by Amplifyd LLC, a Texas limited liability company, doing business as EquipFlow. This policy applies to the EquipFlow website, application, accounts, support, subscription billing, and integrations. Our notice address is 332 S High Rock Ave, Saratoga Springs, UT 84045.

What we collect.

When you submit the demo request form on this site we collect the fields you fill in — your name, company, email address, phone number (optional), and a note about what software or method your yard is running today. Alongside those fields the form records a short set of attribution values: the referring URL, the landing page you arrived on, a session identifier generated in your browser, and any UTM or click-identifier parameters present in the URL (utm_source, utm_medium,utm_campaign, utm_term,utm_content, gclid, fbclid,li_fat_id, msclkid). A Cloudflare Turnstile challenge runs to confirm the submission is not automated.

When a page or link is part of an EquipFlow content program, the form may also record privacy-safe internal labels for the opportunity, content version, distribution, offer, and call to action; the page where you converted; and up to five content asset labels that assisted the visit. These labels identify our own materials, not additional personal details about you.

If you ask a calculator to email your result, we collect the email address, the calculator inputs you chose, the result recomputed by our server, and the same first-touch attribution values. We store that snapshot in our CRM, or in our internal lead inbox if the CRM is unavailable, and send the requested transactional email through Resend. This request does not add the address to our marketing newsletter.

If we discuss or schedule a demo, our CRM may also record a fit decision, the reason for that decision, booking and held-demo dates, and the latest demo outcome. We use those fields to follow up appropriately and to measure whether our marketing reaches relevant rental operators.

Application, account, and billing data.

When you or your organization use EquipFlow, we collect account and user information such as names, business contact details, roles, permissions, authentication and security events, support communications, and technical information about how the Service is accessed. We also process the operational information that your organization enters into EquipFlow to provide, secure, support, and improve the Service under our agreement with your organization.

For subscription billing, we receive and retain limited records from Stripe, such as Stripe customer and subscription identifiers, the selected plan, subscription and trial status, renewal dates, invoices, payment outcomes, and the payment card brand and last four digits used for account display. Stripe processes the full payment-card details. EquipFlow does not store the full card number, expiration date, or security code.

Where it goes.

Submissions are delivered to our internal lead inbox and customer record, and we use the information to reply to you about EquipFlow and to run and measure our own marketing. We disclose information as needed to providers that help us host, secure, support, and communicate about the Service; operate our CRM and analytics; process subscription payments through Stripe; or provide an integration that your organization authorizes. We may also disclose information when required by law, to protect legal rights or service security, or to professional advisers under appropriate confidentiality obligations. We do not sell your information.

How long we keep it.

If the conversation goes nowhere we retain your record for up to 24 months and then delete it. If you become a customer we retain account, service, and billing records for the duration of the relationship and for applicable tax, contract, audit, security, and legal-retention periods. For 30 days after a subscription terminates, the customer may request an export of available Customer Data. After that window, we may delete or de-identify the data, subject to legal retention and normal backup cycles. You can ask about access, export, correction, or deletion by emailing [email protected]. We will evaluate the request against our agreement with your organization and applicable legal obligations.

QuickBooks Online data handling.

If you connect EquipFlow to QuickBooks Online, we access the accounting objects required for the actions you choose. EquipFlow reads customers for linking or reviewed import, reads items, accounts, and tax codes for mapping, and posts approved invoices, payments, credit memos, customer deposits, and deposit refunds. It also receives signed updates for accounting documents already linked between the systems. The OAuth scope we request is com.intuit.quickbooks.accounting. We do not request the payroll or payments scopes.

OAuth access and refresh tokens are encrypted before database storage. The integration retains provider references, selected mapping identifiers, posting payloads, and status or error records needed to deliver and recover the accounting work you authorize.

QuickBooks references and mappings remain part of the integration record while the account is active. Disconnect marks the connection inactive and attempts to revoke the Intuit credential; it does not automatically delete locally retained references or mappings on a 90-day schedule. Your records inside QuickBooks are not affected by disconnect. To request deletion of retained QuickBooks connection data, email [email protected] and we will confirm the scope of the request, expected timing, and any records that must be retained for legal, tax, or audit obligations. Cookies, analytics, and advertising.

This site uses cookies, pixels, tags, and similar technologies — our own and those of third-party providers — for analytics, performance measurement, advertising, and to understand how visitors find and use the site. Some of these may recognize your device, browser, or organization and help us measure and tailor advertising on other platforms. Cloudflare Turnstile may set a short-lived token as part of its bot-challenge flow. You can manage cookies through your browser settings, and you can email us with any questions about how these technologies are used.

Children.

EquipFlow is software for commercial rental operations. We do not knowingly collect information from anyone under 16. If you are a parent or guardian and believe a minor has submitted information through this site, email us and we will delete it.

Changes to this policy.

If this policy changes in a material way we will update the date below and post the new version on this page. Where required, we will provide additional notice through the Service or by email.
