What we collect, where it goes, and what we don't do with it.

What we collect.

When you submit the demo request form on this site we collect the fields you fill in — your name, company, email address, phone number (optional), and a note about what software or method your yard is running today. Alongside those fields the form records a short set of attribution values: the referring URL, the landing page you arrived on, a session identifier generated in your browser, and any UTM or click-identifier parameters present in the URL (utm_source, utm_medium,utm_campaign, utm_term,utm_content, gclid, fbclid,li_fat_id, msclkid). A Cloudflare Turnstile challenge runs to confirm the submission is not automated.

Where it goes.

Submissions are delivered to our internal lead inbox and customer record, and we use the information to reply to you about EquipFlow. That is the full scope of what happens with your information. We do not sell it, rent it, or share it with advertisers or third-party marketers. We do not use it to build advertising profiles or retarget you across other sites.

How long we keep it.

If the conversation goes nowhere we retain your record for up to 24 months and then delete it. If you become a customer we retain your record for the duration of the relationship plus whatever window is required for tax, contract, and audit purposes. You can ask us to delete your record sooner at any time — email [email protected] and we will remove it and confirm in writing.

QuickBooks Online data handling.

If you connect EquipFlow to QuickBooks Online, we access the accounting objects required to keep your operations record and your accounting record in sync — invoices, payments, customers, items, tax codes, and chart-of-accounts mappings. The OAuth scope we request is com.intuit.quickbooks.accounting. We do not request the payroll or payments scopes.

Data is encrypted in transit with TLS 1.2 or better and encrypted at rest in the EquipFlow production database. OAuth access and refresh tokens are stored encrypted and rotated per Intuit’s OAuth 2.0 rules. Error traces sent to Sentry are scrubbed of QuickBooks payload fields before upload — customer names, addresses, and amounts are redacted so they do not leave our environment.

We retain synced QuickBooks references (the identifiers that link an EquipFlow record to its QuickBooks counterpart) for the duration of the customer relationship plus the window required for tax and audit. On disconnect, OAuth tokens are destroyed immediately and cached mappings are retained for 90 days to allow quick reconnection, then purged. Your records inside QuickBooks are not affected by disconnect — we do not delete data we did not own. To request deletion of cached QuickBooks data sooner, email [email protected] and we will confirm deletion in writing within one business day. Analytics and cookies.

This site runs Vercel Analytics and Vercel Speed Insights for aggregate performance measurement. Both operate without setting cookies and without collecting information that identifies you personally. Cloudflare Turnstile may set a short-lived token as part of its bot-challenge flow. We do not run session-replay scripts, advertising pixels, or cross-site tracking on this site.

Children.

EquipFlow is software for commercial rental operations. We do not knowingly collect information from anyone under 16. If you are a parent or guardian and believe a minor has submitted information through this site, email us and we will delete it.

Changes to this policy.

If this policy changes in a material way we will update the date below and post the new version on this page. Continuing to use the site after a change means the new policy applies to subsequent submissions; older submissions remain governed by the policy in effect at the time they were made.
