Rental software integrations with clear system ownership.
EquipFlow runs rental operations and billing without an accounting connection. QBO is the optional handoff for approved accounting documents, mapped customers and accounts, and visible recovery when a post needs attention.
Rental truth first, accounting handoff second.
The customer request, rental, unit assignment, dispatch movement, return, readiness, and invoice construction stay in EquipFlow. QBO receives the accounting documents the yard has reviewed.
Works without QBO.
Draft, review, send, payment, credit, and reconciliation workflows remain available when no accounting connection exists.
Review billingMapped documents move to QBO.
Invoices, payments, credit memos, customer deposits, and deposit refunds have explicit EquipFlow-to-QBO posting paths.
See document directionsSync state stays visible.
Queued, retrying, blocked, dead-lettered, and connection-expired work stays separate from invoice and payment state.
See recovery behaviorLink what exists; map what posts.
The connection setup covers QBO customers, accounting items, accounts, a default tax code, and the links needed before a document can post. A customer import utility can map QBO customers and job-style subcustomers to EquipFlow customers and sites.
Do not call every webhook a two-way sync.
QBO webhooks reconcile records that EquipFlow already posted and linked. They do not import an unknown payment as a new EquipFlow payment, synchronize every customer edit, or turn QBO Items into physical rental equipment.
QuickBooks Online only.
EquipFlow does not provide a direct QuickBooks Desktop, QuickBooks Enterprise, Xero, Sage, NetSuite, or generic accounting bridge. The QuickBooks Online detail page documents the implemented paths and the questions to bring to a fit review.
Bring one invoice and your QBO account map.
We will show what originates in EquipFlow, what posts to QBO, what a webhook can reconcile, and where manual accounting review remains.
