Construction equipment rental software for the yard serving job sites.
This is software for the rental company—not project management software for the contractor. EquipFlow connects the unit, the rental, job-site delivery and pickup, return readiness, and billing while the construction schedule keeps moving.
Best fit
A single-location, dispatch-led yard with individually tracked earthmoving, material-handling, aerial, compaction, power, or support equipment.
EquipFlow product decisions focus on roughly 75–250 units, with broader fit across roughly 50–400. Multi-branch ERP, public ecommerce, and construction-project management are outside the current product promise.
A construction-rental day moves with the job site.
A delivery window shifts. A telehandler stays another week. One unit returns while the rest of the rental remains active. A scissor lift needs a swap before the next crew arrives. None of those changes should force the yard to rebuild the commercial record or guess which machine is still committed.
EquipFlow keeps each event attached to the rental, specific unit, dispatch movement, return state, and eventual invoice. Operators can see what changed, what is blocked, and what the next action is.

Keep the construction-rental loop connected.
Construction pressure shows up in the handoffs. These are the points where EquipFlow carries the same operating facts forward instead of asking the next team to re-enter them.
Promise the right unit
Check the specific unit, overlapping commitments, location, return state, inspection status, and service blockers before committing it to the next job.
See the product workflowKeep the rental live
Carry the customer, job site, PO, equipment, assignment history, extensions, swaps, calloffs, and partial returns without rewriting past work.
See the product workflowRun deliveries and pickups
Schedule delivery, pickup, and transfer legs with the targeted equipment, driver, time window, destination, notes, and completion proof.
See the product workflowReceive the unit honestly
Record condition, meter or fuel when relevant, photos, notes, and obvious issues before treating a returned machine as ready for another site.
See the product workflowHold blocked equipment back
Keep work orders, downtime, service history, and unresolved return work connected to the unit the dispatcher is trying to promise.
See the product workflowBuild a reviewable invoice
Trace rental periods, rates, delivery and pickup charges, tax, credits, deposits, and adjustments back to the rental before sending the invoice.
See the product workflowKeep job-site and billing facts separate, but connected.
A customer can have contacts and job sites, while a rental carries its selected site and PO number. Dispatch may use that site or an explicit destination. Billing contacts, credit, insurance, tax, and negotiated rate context remain visible without collapsing every address into one field.
The broader equipment rental software guide covers category-wide evaluation. The supporting contractor-account workflow page goes deeper on GCs, subcontractors, job sites, POs, customer access, and construction-management integration limits.

Rental King is EquipFlow’s operating proof environment, but it is an oilfield yard—not a construction customer case study. The proof is that the core dispatch, rental, return, and billing loop runs in a demanding 24/7 heavy-equipment operation.

What construction-rental buyers ask before a demo.
“Is this software for contractors or for rental yards?”
It is for equipment rental companies serving construction customers. EquipFlow runs the rental-yard record, unit availability, dispatch, returns, readiness, and billing. It is not construction project-management software for a general contractor.
“Can a rental carry a job site and PO number?”
Yes. A rental can carry a customer job site and PO number, and dispatch legs can use the job site or an explicit delivery or pickup destination. Customer, site, billing-contact, credit, insurance, and tax context remain separate facts instead of one address field.
“What happens when the job changes after delivery?”
EquipFlow supports extensions, serialized-unit swaps, partial returns, calloffs, pickup, return, and readiness as separate events on the connected rental record. History remains visible rather than being overwritten by the latest plan.
“Does EquipFlow replace Procore or Buildertrend?”
No. EquipFlow does not replace project schedules, RFIs, submittals, or construction cost control, and it does not offer a prebuilt Procore or Buildertrend connector today. It owns the rental yard's equipment, movement, return, and billing workflow.
“Can construction customers book equipment online?”
EquipFlow does not publish live availability or accept self-service rental bookings. Invited contacts can sign in to view their quotes, rentals, and invoices and upload a COI, but the portal is not an ecommerce storefront.
“How much does construction rental software cost?”
EquipFlow is $749 per yard per month with unlimited seats and a $0 setup fee. The annual option is $7,200 per yard paid upfront, equivalent to $600 per month and approximately 20% savings.
