Before you start.

  • Have the rental and exact units or quantity in front of you.
  • Review customer and readiness warnings before release.

Steps.

  1. Record customer collection

    Take me there →

    On the rental, review the selected equipment and use Hand over at counter when the machines actually leave. For pooled stock use Record customer handover with the real quantity. Check possession and time after saving.

  2. Check in only what came back

    Open the rental’s return/check-in action. Select the returned units or quantities, confirm the actual company-local time and receiving yard, and record condition, fuel, and meter evidence. Answer readiness based on what is in front of you.

  3. Read the result and finish follow-up

    Review inspection, damage, fuel, cleaning, or work-order follow-up. If all equipment is resolved, choose the explicit close action when offered. Leave unresolved equipment active; review billing and held deposits separately.

    Do not create a dispatch trip for a counter handover that did not need one. A pickup already reported by a driver is inbound receipt work, not another customer drop-off.

Common problems and recovery.

The expected equipment is not available to check in.

Review whether it is already received, still assigned elsewhere, a Re-Rent returning to its vendor, or pooled quantity awaiting its recorded yard outcome.

The rental cannot close.

Read the remaining unit, Re-Rent, pooled quantity, or recovery obligation. Follow its owning record rather than checking the same equipment in twice.
