Rent vendor equipment and pooled quantities

Source a Re-Rent from a vendor or track counted pooled stock without pretending either is an owned serialized machine.
Before you start.
- Have the customer rental line and the correct class inventory type.
Steps.
Choose the right source
Take me there →In the rental Equipment table, choose Choose equipment, then Source from vendor for supplier equipment. Use pooled quantity controls for counted stock and owned unit assignment for serialized owned machines.
Record supplier or handover facts
For Re-Rent, Assign vendor if not yet sourced, record the vendor machine identity and Record cost when known. Zero is a recorded cost; blank means unknown. Use the Equipment tab for on-rent and return facts. For pooled stock, Record customer handover with only the quantity that left.
Reconcile the actual outcome
Track Re-Rent return to its vendor. For pooled stock, Record return with returned, missing, and damaged quantities, then reconcile unresolved outcomes with evidence. Verify remaining liability, quantity, and readiness before closeout.
warning
An unknown vendor cost is not zero margin. A rental activation does not prove pooled quantity was handed over, and a vendor return is not an owned-machine counter receipt.
Common problems and recovery.
A Re-Rent has no supplier or cost.
Use Assign vendor and Record cost on that existing source; do not create a second Re-Rent just to fill the missing facts.
Pooled stock is missing or damaged.
Record the true counts and use the offered reconciliation when recovered, repaired, replaced, or retired. Customer billing decisions remain separate.
